How to use Paubox [Tags]

Paubox [Tags] is an inbound email security feature designed to help authenticate and verify that incoming emails that are safe. This feature reduces the workload of IT departments by reducing the need to manually vet and confirm that emails are safe. 

Paubox [Tags] is available at no additional cost for customers with Paubox Email Suite Plus and Paubox Email Suite Premium.

 

How it works

For each custom tag that is created, Paubox [Tags] checks for:

  • The sender's email address
  • The sender's SPF record includes a strict setting of -all

If both of these pass, Paubox will append the customer [Tag] to the subject line in brackets.

 

How to use Paubox [Tags]

Enable Paubox [Tags]

  • In the Paubox Dashboard, click Inbound Security, then Settings
  • Flip the Paubox [Tags] toggle to On
  • Click Save

Create a custom Paubox [Tag]

  • In the Paubox Dashboard, click Inbound Security, then [Tags]
  • Click Add
  • Enter the Tag name - note, this is the text that will be appended to the safe email in brackets
  • Enter the sender email address

Note: If the sender's SPF record does not have the strict setting of -all or does not have an SPF record, the [Tag] status will be set to "Ignored" and tags will not be appended to emails from that sender.

Examples

  • Let's say Linda <linda@example.com> works in the Accounting department.
  • Her IT Director, John, uses Paubox [Tags] to create the following entry:
    • Sender: do_not_reply@intuit.com
    • [Tag]: [Safe to pay]
  • When Linda gets a renewal invoice from Quickbooks, she already knows it's a legitimate bill to pay because the Subject line of the email is now:
    • Subject: [Safe to pay] Reminder: Your annual subscription is about to renew
