Inbound email security: Overview

Inbound email security is included with Paubox Email Suite Plus and Paubox Email Suite Premium. 

 

What is inbound email security?

Paubox's Inbound Email Security protects your organization's inboxes against ransomware, malware, phishing, and display name spoofing attacks, in addition to filtering out unwanted spam.

  • Sender reputation review to validate senders and check for known malware and phishing patterns

How inbound security works

Every inbound email goes through a multi-layered filtering process designed to protect your organization from malicious or unwanted messages. Here’s how our inbound security solution works, step by step:

Stage 1: Sender validation

This stage verifies the legitimacy of the sending domain and server, including:

  • Domain and SPF record validation
  • Reputation checks on the sending email server

What happens: Emails that fail these checks are rejected and bounced back to the sender.


Stage 2: Virus and phishing detection

Emails are scanned for:

  • Embedded macros
  • Phishing links
  • Ransomware and other forms of malware

What happens: Emails identified as containing viruses or phishing content are placed in quarantine and not delivered to the recipient.

Stage 3: AI + advanced filtering
Addiltional filters detect unwanted or potentially harmful emails:
  • AI analysis of sender behavior, tone, and context
  • ExecProtect for display name spoofing 
  • Custom rulesets
  • Content and metadata analysis for spam detection
  • Inbound DLP rules

What happens: Emails flagged during this stage are placed in quarantine. 

 

AI behavior analysis and adaptive learning

AI is a powerful tool that helps identify nuanced attacks effectively by:

  • Analyzing sender behavior, message tone, and intent 

  • Detecting deviations from normal communication patterns

  • Providing transparent insights about why a message was flagged or quarantined

  • Learning from administrator actions (e.g., marking safe senders) to reduce future false positives

This approach lets Paubox surface hidden threats and adapt protection.

 

How to set up Inbound Security

If you are a Paubox Email Suite Standard customer, contact Paubox support to upgrade your subscription to Plus or Premium. 

If you are a Paubox Email Suite Plus or Premium customer, Inbound Security should be enabled in your Paubox dashboard. Click on Mail Log in the Inbound Security section to make sure your incoming email is being handled by Paubox. (If you don't see your incoming email traffic, or do not see a Paubox Inbound Security section, contact support.)
