Manage encrypted and unencrypted senders

By default, all email addresses sending from your domain are automatically encrypted through Paubox. This ensures that your organization’s communications remain HIPAA compliant and secure.

With the Senders page in the Paubox dashboard, admins have visibility and control over which email addresses are encrypted or unencrypted.

Overview of the Senders page

On the Senders page, you’ll see three tabs:

  1. Encrypted: All email addresses sending from your domain that are automatically encrypted through Paubox.

  2. Not Encrypted: Email addresses you’ve chosen not to send encrypted email through Paubox. These do not count toward your sender count for billing.

  3. Inactive: Email addresses that have not sent any email for 45 days (including automated responses) are marked as inactive and do not count toward your sender count for billing. Learn more here.

Note: Email addresses are automatically added to the Encrypted Senders list when they send mail, to ensure every email is HIPAA compliant. You cannot manually add emails to this list, but you can manually move emails to the Unencrypted Senders list.

Managing Encrypted senders

Move to Not Encrypted

If you have an email address that should not send encrypted email:

  1. In the Paubox dashboard, go to Outbound Security > Senders
  2. Go to the Encrypted tab
  3. Select the checkbox next to the email address
  4. In the Actions dropdown, select Move to Not Encrypted.

Managing Not Encrypted senders

Move to Encrypted

If you want an Not Encrypted sender to begin sending encrypted email:

  1. In the Paubox dashboard, go to Outbound Security > Senders
  2. Go to the Not Encrypted tab
  3. Select the checkbox next to the email address
  4. In the Actions dropdown, select Move to Encrypted

Remove Not Encrypted senders

Senders on the Not Encrypted tab cannot be individually removed. The only direct action available on this tab is Move to Encrypted, which returns the address to encrypted sending going forward.

If your goal is to clear or remove senders from your dashboard entirely, consider the following options:

  • Move to Encrypted: Select the email address and choose Move to Encrypted in the Actions dropdown to resume encrypted sending.
  • Allow senders to age into Inactive: Once an encrypted sender stops sending email for 45 days, it automatically moves to the Inactive tab, where individual addresses can be removed.
  • Account reset (all senders): Account admins can clear all senders across every tab at once using the account-reset option. This action requires typed confirmation and cannot be undone, so it is intended for full account resets rather than selective routine cleanup.
